Paste a Zoom or Google Meet link on a session, or as a client’s usual room, and join from your list. Only genuine Zoom and Google Meet addresses are accepted. Theravilo opens the link; it does not connect to, join or record anything.

Theravilo will not let you double-book, book in the past, or pick a time that does not exist or happens twice when the clocks change.

The same checks apply when you move a session. Record who cancelled; a client’s short-notice cancellation is flagged late against your own notice period. Nothing is sent to clients.

Keep optional details such as date of birth, emergency contact and GP, and record the therapy contract and consents with the dates they were given or withdrawn. The history is kept.

Book a client every one to four weeks, or monthly on the same weekday, for a number of sessions or up to a date. Clashes are shown before booking and any date can be left out. Extend a series, change the rest of it (day, time, place or fee), or cancel one session or the rest.

Mark a session as did not attend, correct it later if needed, and invoice a missed session or a late cancellation when your policy allows. Nothing is charged automatically.

Find a client, a word in a clinical note or reflection, or an invoice. The search runs in your browser over what is already open; nothing you type is sent or kept.

Write freely, or in sections: SOAP, DAP, BIRP or a simple counselling layout with a risk and safeguarding section. The prompts guide you; they are never added to a note.

The Overview gathers what is waiting from the last 30 days: outcomes to record, notes to write, sessions to invoice and overdue invoices.

In your practice’s currency (pounds by default; euros, dollars and others available), worked out in whole pence. No conversion between currencies and no payments are processed.

Income received and expenses for each UK tax year (6 April to 5 April), by month and category, with a CSV download that lists clients by reference code only. Not a tax calculation or return; nothing is sent to HMRC.

Download any invoice as a PDF with your business details, UK bank details or an IBAN, and a transfer reference, made in your browser, in one of three layouts with your colour and logo. Paid and void invoices say so.

Add a link from your own Stripe, PayPal, Monzo, SumUp, Revolut or Square account. Unpaid invoices show it with a QR code, and it goes into the message when you send them. Payments go straight to you; Theravilo never sees them, and you mark the invoice paid.

Share the PDF to Mail or another app, or open your email app with the message ready. Theravilo itself sends nothing.

Income counted when paid, so the figures are useful to share with an accountant. Not a tax calculation.
